How to respond to negative app reviews (with templates)

Learn the core principles of responding to negative app reviews, get reply templates for common scenarios, and see where AI drafts fit when a person approves each reply.

In short: A thoughtful reply to a 1-star review can prompt the reviewer to update their rating, and it shows everyone who reads the review that your team is listening. Good replies are timely, empathetic, free of defensive language, and give the reviewer a clear next step. This guide covers the principles, three templates, and how to measure the effect on your own app.

Why responding matters

A reply is not only for the person who wrote the review. On both the App Store and Google Play, your reply appears publicly beneath the review, so potential users who read it before downloading also see how your team handles problems. The reviewer can still edit their review and rating after you reply.

The silent audience

When you reply to a negative review, you show future users that your team is active, listens, and fixes issues. A 1-star review with a thoughtful, helpful reply can reassure a prospect more than a generic 5-star review does.

Core principles of a great response

  • Speed: Reply while the problem is still fresh for the reviewer. Set a response target your team can actually meet, such as one business day for 1- and 2-star reviews.
  • Acknowledge the pain: Don't jump straight to the fix. Validate their frustration ("We're sorry the app crashed during checkout").
  • Provide a next step: Give them an email address, a link to a support article, or a timeline for the bug fix.
  • Never argue: Even if the user is wrong or misunderstood a feature, keep it professional.

Negative review response templates

Scenario 1: Known bug (working on it)

Use this when a user reports an issue your team is already aware of and fixing.

Modelo de resposta

Hi [Name], we're so sorry you experienced this. Our engineering team is working on the [bug description] issue. Thank you for reporting it.

Scenario 2: Known bug (fixed)

Use this to win back users after you've shipped the solution.

Modelo de resposta

Hi [Name], thanks for reporting this! We've just released version [X.X] which fixes the [bug description] issue. Please update the app, and if everything is working smoothly, we'd love it if you reconsidered your rating.

Scenario 3: Missing feature request

Use this when users leave a low rating because the app lacks a specific feature.

Modelo de resposta

Hi [Name], thanks for the feedback! We don't currently support [feature]. You might find [workaround] helpful in the meantime.

When (and how) to use AI

Writing every reply by hand gets harder as review volume grows. AI drafts take away the blank page, but replies that go out without anyone reading them can sound robotic, repeat the same wording, or promise things your team can't deliver.

Draft with AI, approve as a person: Tritonium's AI reply drafts respond to the specific issue in the review. A draft is not published until someone on your team reads it, edits it if needed, and approves it.

Measuring the effect of replies

To see whether replies are working for your app, track these metrics:

  • Reply rate: The percentage of 1- and 2-star reviews you respond to.
  • Time to reply: How long reviews wait for a response, compared with the target you set.
  • Update rate: The percentage of reviewers who change their rating after receiving a reply.

Compare these with your own history. Ratings also move with releases and seasons, so look at the trend over several weeks rather than a single day.

Draft replies faster and approve them yourself

Tritonium drafts a reply to the review you choose. Your team edits and approves it before it is published to the store.
