App review triage checklist and template

A practical app review triage checklist with a free CSV worksheet: check coverage, prioritize blocked use, assign owners, and verify replies and fixes.

App reviews can help your team find recurring problems and understand what customers value. Use them alongside your support conversations and product analytics. The steps here are practical guidance; measure their effect on your own app before drawing conclusions about ratings, retention, or revenue.

Open the worksheet in your spreadsheet tool. It contains column headers only, with no customer data or invented examples.

  1. Choose a comparable review window. Record the store, date range, app version and review count. Note which reviews have AI analysis; an analyzed subset does not represent your entire review history.
  2. Check the original evidence. Link each issue to the source review. Count distinct reports in the same window, including other star ratings. Keep account details out of public replies and shared worksheets.
  3. Prioritize blocked use. Investigate sign-in failures, payment failures and crashes first when they prevent customers from using the app. Confirm a reproducible problem before promising a fix.
  4. Assign an owner and next action. Record who will investigate, what evidence is needed and when to follow up. Similar wording alone does not establish the same root cause.
  5. Approve the reply and verify the outcome. Check every factual statement in a draft. Record whether the fix was verified and whether the issue recurs in a comparable later window. A posted reply alone is not a resolved problem.

The worksheet's evidence count is the number of distinct reviews supporting an issue in your selected window. Its coverage note describes the analyzed subset and gaps. Use owner, next action and follow-up date to prevent a complaint from becoming an unowned task.

Evaluating Tritonium? It is a limited beta for App Store and Google Play review workflows. Create an account, verify your email, set up the required authenticator, then connect one app from Apps. Public-review setup needs no store credentials. Review and approve reply drafts in the dashboard. Store publishing requires a supported connection and store credentials; you can also copy replies into the store console to publish manually. Check the source reviews and analysis coverage before relying on an insight. AI analysis starts with recent reviews and adds older ones over time within the monthly allowance for each app. Rating estimates use written reviews, not all store ratings. Accuracy against future displayed store ratings has not been established, and model ranges are uncalibrated. Broader ASO keyword tracking is outside the product's scope.

1. Prioritize replies

Start with reviews reporting blocked access, payment problems, crashes, or other issues your team can investigate. Set a response target that matches your support capacity.

  • Filter by rating and search for the issue, then read the original review before assigning it to a teammate.
  • Explain what the customer can do next. Give a verified support contact when the investigation needs private account details.

2. Read across star ratings

A star rating alone does not explain a customer's experience. Read reviews across the rating range to find requests, praise, and complaints that a single rating filter would miss.

  • Group recurring themes in your worksheet and keep the underlying review text available for context.
  • Compare similar date ranges, app versions, and languages. Check the number of reviews and analysis coverage before treating a trend as representative.

3. Investigate recurring complaints

Phrases such as "last update" or "switching to" are useful starting points for an investigation. A review does not establish that a customer uninstalled or cancelled.

  • Check whether the same problem appears across multiple reviews and whether it follows a particular release.
  • Validate suspected retention or revenue effects in your own product and billing analytics before prioritizing work on that basis.

4. Review AI drafts before publishing

Tritonium can generate a reply draft for a review. Read and edit it before approving and publishing it through your connected store credentials.

  • Check that the draft addresses the reported issue, uses your real support details, and makes no promises your team cannot keep.
  • Measure time spent reviewing drafts and the quality of replies in your own workflow. AI output still needs human judgment.
